The Silent Threat: How Voice Notes Might Be Killing Your Brand & Business

Sheena Whyatt·19 December 2023

Picture this: you're knee-deep in emails, tackling your to-do list, when suddenly, a notification chimes in. You open it, expecting another text or email, only to find a voice note. Seems harmless, right? Well, hold that thought.

Those innocent voice notes might be silently killing your brand and business.

The Convenience Conundrum

I get it, voice notes are convenient. It feels quicker to rattle off a message verbally than type it out. But here's the catch – convenience can come at a cost. When you're constantly sending voice notes, you might be sacrificing clarity and coherence.

Imagine a potential client receiving your muffled, half-coherent voice message. Confusion ensues. Your professional image takes a hit. Wait a minute – you can’t be bothered to send me an email? You’re ‘so busy’ you can’t respond as I asked you to? I might not be able to pick up that voice note right now.

It's like trying to hold a conversation through a foggy window – you might get the gist, but the details are lost in translation.

Lost in Translation

We've all been there – deciphering a voice note like it's a secret code. The background noise, the rushed delivery, the making a drive through order at the same time, the occasional "uhms" and "ahs" – it's a recipe for miscommunication. And in business, miscommunication can be a silent killer.

Clients and colleagues appreciate clarity. When your message is crystal clear, it builds trust. Voice notes, on the other hand, can introduce an element of doubt. Is that a 'yes' or a 'maybe'? Did they say 'this month' or 'next month'? The ambiguity leaves room for misunderstandings that can harm your professional relationships.

Professionalism Matters

In the business world, professionalism is your secret weapon. It's the glue that holds your brand together. Now, think about how a string of voice notes might be chipping away at that professionalism.

Clients and partners form an impression of your brand based on every interaction. A well-crafted email or a clear, concise message adds to your professional image. Voice notes filled with background chatter and unclear mumbling? Not so much. It’s the same as responding to texts/DMs/WhatsApp messages when you are in an online meeting. Not giving 100% of your attention to your client sends a really crap message about how important they are to you. If those texts/DMs/WhatsApp messages really can’t wait for a response from you for an hour or so, your business is in big trouble, and you need some serious help with delegation.

The Time Factor

While voice notes seem like a time-saver, they can be quite the opposite. Consider the time it takes for someone to replay your message, trying to catch every detail. Compare that to the efficiency of a well-structured email or text that can be quickly scanned and understood.

In a fast-paced business environment, every second counts. Voice notes, ironically, might be eating into the very time they claim to save. Imagine how frustrating it is for your client to have to fast forward & replay over and over again. How would you feel on the end of that? Would that give you a warm & fuzzy feeling? I doubt it.

The Visual Element

Now, let's talk about the missing piece in voice notes – the visual element. Unlike written messages, voice notes lack a tangible reference. You can't go back and read a voice note like you can with text. This absence of a visual cue can lead to crucial information slipping through the cracks.

A well-thought-out graphic can accompany your text and reinforce your message visually. For instance, a comparison chart or a simple infographic can highlight the drawbacks of excessive voice notes. It's the visual equivalent of saying, "Look, this is what we're talking about!"

Striking the Right Balance

Now, I’m not saying you need to banish voice notes altogether. They have their time and place, like conveying genuine emotion or emphasizing a point. However, like any tool, they're most effective in moderation.

Strike a balance. Save voice notes for situations where tone and emotion matter, and opt for written communication when clarity and professionalism are paramount.

In a world where first impressions can make or break a deal, your choice of communication matters. So, the next time you reach for that voice note button, ask yourself: Is this the best way to convey my message and uphold my brand?
